This notice explains how The Charter Schools Educational Trust ("the Trust", "we", "us") uses personal information about people who visit our website at chartertrust.org.uk and tcset.org.uk, or who contact us through it.
It covers the website only. If you are a parent, pupil, member of staff, governor, trustee or job applicant, there is a separate privacy notice for you on our Policies page. How we use cookies is explained in our Cookie Policy.
1. Who we are
The Charter Schools Educational Trust is the "data controller" for the information described in this notice. This means we decide how and why it is used, and we are responsible for looking after it.

2. What information we collect
When you contact us through our website
If you fill in our contact form, we collect:
- your name
- your email address
- anything you choose to tell us in your message
Please don't include sensitive information about yourself or anyone else (for example about health or a child's needs) in the form. If your enquiry needs that, we'll arrange a safer way to talk.
When you browse our website
If you agree to analytics cookies, Google Analytics collects information about how you use the site, such as the pages you visit, how long you stay, the type of device and browser you use, and roughly where you are (town or region, not your exact location). This does not tell us who you are.
Like any website, the services that host and deliver our site also receive basic technical information such as your IP address, so they can show you the page. Our Cookie Policy has the details.
3. How we use it and why we're allowed to
Data protection law says we need a lawful reason ("lawful basis") for each way we use your information.
Replying to your enquiry
We use the details you send us to read your message, reply to you and, where needed, pass it to the right person in the Trust or one of our schools. Our lawful basis is legitimate interests: it's in your interests and ours that we can answer questions people send us. If your enquiry relates to our role as a provider of education (for example a question about a pupil or admissions), our lawful basis is public task.
Understanding how our website is used
We use Google Analytics to see which pages are useful and where we can improve the site. Our lawful basis is consent: we only use analytics if you click Accept on our cookie banner, and you can change your mind at any time using the Cookie settings link in the footer.
Keeping the website secure and working
Our hosting and delivery providers process technical information to keep the site running and protect it from attacks. Our lawful basis is legitimate interests.
We do not use your information for marketing, we do not sell it, and we do not use it to make automated decisions about you.
4. Who we share it with
We only share your information where we need to, and with organisations that must keep it secure and only use it on our instructions:
- Webflow, which hosts our website and stores contact form messages on our behalf
- Our email provider, as form messages are also sent to a Trust email inbox
- Google, which provides Google Analytics (only if you have agreed to analytics cookies)
- Staff in the Trust or our schools, where your enquiry needs to be passed on to the right person
We may also share information if the law requires us to, for example with the police or a court, or to protect a child from harm.
5. Information sent outside the UK
Webflow and Google are based in the United States, so your information may be stored or accessed there. Where this happens, we make sure it is protected to UK standards, through the UK Extension to the EU-US Data Privacy Framework or the UK International Data Transfer Agreement.
6. How long we keep it
- Contact form messages: we keep these for [12 months] after we have dealt with your enquiry, then delete them. If your enquiry becomes part of a wider matter (for example a complaint or a pupil's record), we keep it for as long as that record requires, in line with our Records Retention Policy.
- Google Analytics data: kept for [14] months, then deleted automatically.
7. Keeping your information safe
We use appropriate technical and organisational measures to protect your information, including secure, encrypted connections to our website, access controls on who can see form messages, and staff training on data protection.
8. Your rights
Under data protection law you have the right to:
- ask for a copy of the personal information we hold about you
- ask us to correct information that is wrong or incomplete
- ask us to delete your information
- ask us to limit how we use your information
- object to us using your information where we rely on legitimate interests or public task
- withdraw your consent at any time, where we rely on consent (for analytics, use the Cookie settings link in our footer)
- ask us to transfer information you gave us to another organisation, in some circumstances
Some of these rights only apply in certain situations. To use any of them, contact us using the details below. We will normally reply within one month, and we won't charge you.
9. Children
Our website is designed for adults: parents and carers, staff, job applicants and partner schools. We don't knowingly collect information from children through it. If you are under 13, please ask a parent or carer to contact us for you.
10. Changes to this notice
We review this notice every year, and whenever we change how the website uses personal information. The date at the top shows when it was last updated.
